Website information

Privacy Policy

Verify supports document submission and evidence review for the organisation requesting verification.

Information used

A request may include your name, contact details, documents, images and other details you provide. The portal also processes case references, reviewer notes and decisions, account information, and technical records needed to operate and protect the service.

Why information is used

Information is used to receive submissions, screen files, analyse documents and images, present evidence to authorised reviewers, support case decisions and maintain a review history. A submitted file is screened for malware before it is accepted for storage; this screening does not establish whether its contents are authentic.

Who may receive information

Your documents and details are made available to the organisation requesting verification and its authorised reviewers. Configured external services may process information needed for specific checks. When online photo matching is used, a photo may be sent to Google Cloud Vision Web Detection. In the reviewer’s business investigation tool, a reviewer may explicitly search Google Maps for a business name or confirmed public business address or telephone number. That business search does not send uploaded documents or private email addresses to Google Maps. If the requesting organisation enables live mobile line status, one clearly read issuer telephone number may be sent to Twilio Lookup; inactive, unknown and unavailable results are treated as unconfirmed.

Google information

Google handles information sent to its services under the Google Privacy Policy, which is incorporated into this policy for Google services used by Verify. Google Maps listing details are shown temporarily to the reviewer. If a reviewer links a listing to an investigated entity, Verify retains its Place ID and the reviewer’s association decision; older case records may contain listing details saved by earlier versions of the service.

Storage and access

Access to reviewer cases is restricted to approved accounts. Customer-submitted files are stored in encrypted form. Case records and documents remain available to authorised reviewers under the requesting organisation’s retention arrangements. No specific retention period is represented by this page.

Your questions and requests

For the purpose of your verification request, retention arrangements, and access or correction enquiries, contact the organisation that requested your documents. Reviewers can contact their Verify administrator about their account details and access.

A requesting organisation may provide a separate privacy notice for its own collection, use and retention of your information. Review that notice alongside this page.
